Part-Time Office Manager
POSITION SUMMARY: The Gloucester Adventure, Inc. is a 501(c)(3) maritime historic preservation and educational organization. We are the stewards of the 1926 dory-fishing Schooner Adventure. Our mission begins with restoration and preservation in perpetuity of the National Historic Landmark Schooner Adventure. In this small and growing organization, the Office Manager is responsible for the organization and coordination of office operations and procedures. In addition, the Office Manager will support the Director of Development and Communications and Executive Director in a wide range of administrative tasks. The Office Manager will report to the Executive Director. This is a part-time position at twenty hours per week. REQUIREMENTS: ? Experience in office management, administrative, or assistant experience ? Knowledge of office management systems and procedures ? Excellent verbal and written communication skills ? Excellent time management skills and ability to multi-task and prioritize work ? Attention to detail and problem solving ? Strong organizational, planning skills and follow through on tasks ? Competency required in Microsoft Office applications and Excel. Experience with Donor Perfect (or comparable CRM software), Agile ticketing system (or similar), Social Media, Constant Contact, WordPress, Adobe Acrobat, and Dropbox preferred ? Display a positive attitude and have ability to interact with a variety of personalities in a small office setting JOB RESPONSIBILITIES: ? Work closely with Executive Director and Director of Development and Communications in support of organization?s programs and goals. Provide timely updates ? Participate in weekly staff meetings ? Provide timely response to company email (email@example.com) ? Answer phones and reply to phone messages ? Maintain in-house Google calendar with meetings, events, and community sails ? Assist with member services and process memberships and community sail reservations ? Coordination of Volunteer Program in conjunction with Captain and Volunteer Coordinator. Communicate with perspective volunteers, forward and process volunteer forms and enter information ? Manage charters and charter contracts and communicate event needs to crew. Maintain charter spreadsheet. Work with Executive Director to build charter and group sales business. ? Assist Director of Development with a number of fundraising activities including: o Annual gala o Annual appeal o Membership and fundraising drives o Annual meeting o Acknowledgements o Special events ? Enter gifts in Donor Perfect ? Process donations from Schooner Adventure to local auctions/fundraising events that the organization supports ? Order office supplies and maintain systems ? Assist with procurement of Adventure logo merchandise ?
