The Greater Cape Ann Chamber of Commerce is located in scenic Gloucester, Massachusetts, and proudly serves the communities of Essex, Ipswich, Gloucester, Manchester-by-the-Sea, and Rockport. The Chamber provides networking, promotion, training, and advocacy for the region’s businesses. We also operate a year-round visitor center and office in Gloucester, along with a seasonal visitor center in Rockport.
About the Position
The Office & Visitor Services Coordinator is responsible for managing front desk operations and ensuring a welcoming and organized office environment. This includes greeting and assisting visitors, maintaining office functionality, coordinating vendor services, and supporting both visitor and business member needs. This role also includes supervising part-time front desk staff, volunteers, and interns.
This is a part time (30 hours/week, 10am – 4pm), in-person position based in Gloucester.
Key Responsibilities
- Provide outstanding customer service in person, on the phone, and via email
- Welcome and assist visitors, sharing up-to-date information about local attractions, dining, and accommodations
- Maintain organized visitor materials including brochures, rack cards, and maps
- Manage front desk operations and office systems, including office cleanliness, supplies, and vendor coordination
- Process Greater Cape Ann Gift Checks and maintain detailed records of all financial transactions
- Lead responsibility for all mailing processes, including bulk and event mailings
- Support Chamber staff with administrative tasks such as event registration follow-up, marketing calls, and mailing assistance
- Use Excel and Chamber database tools to support event logistics, sales tracking, and auction donation management
- Recruit, schedule, and supervise volunteers, part-time staff, and interns; maintain monthly schedules to ensure office coverage
- Assist with Chamber events and promotions as needed
- Perform other duties as assigned
Qualifications
- Prior office, administrative, or front desk experience preferred
- Enjoys interacting with the public and providing helpful, friendly service
- Familiarity with Cape Ann and its attractions is highly desirable
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office, especially Outlook, Excel, and Word
- Clear and professional verbal and written communication skills
- Ability to work independently in a fast-paced, collaborative environment
